Using your personal information

When you request access to our services, we’ll collect some of your personal details, to make sure you have everything you need to make the most of our services. We only ever use the information we collect for administering your contract and to support the delivery of the services you’ve asked for.

Examples of the types of personal information we usually collect are:

  • Mobile number
  • Email address
  • Payment details (Direct Debit, credit/debit card number)
  • IP address for your device (if visiting our website)

Unless otherwise stated, the information you provide will never be used for any other purpose without your permission.

Keeping and storing your data

If you’re a current or past customer, we’ll keep a copy of your personal details for no longer than 6 years, from the time your active relationship with us ends. Holding on to data allows us to keep accurate records for tax purposes and to handle any future complaints.

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue. Visitor comments may be checked through an automated spam detection service.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

All of the data that we collect is stored respecting the UK Data Protection Act 2018 Protection Act 2018 (the UK DPA).

Sharing your data with third parties

We respect your privacy and that’s why we don’t share any data with third parties for marketing purposes. However, we will pass your information to a limited number of third parties for the following reasons:

  • To deliver the services you’ve asked for, which includes sharing your information with different software such as youcanbookme, Calendly or Zoom so we can arrange virtual meetings
  • For legal or regulatory purposes including fraud prevention

Marketing preferences

We only want to talk to you if you want to hear from us. Whenever we collect your personal information, we’ll give you the opportunity to let us know how you’d like us to get in touch in the future. We promise not to inundate you with marketing messages, but we also understand if you’d prefer not to receive anything from us.

You can, of course, change your mind at any time by contacting us using the details in the ”Contact” section. You’ll also find an unsubscribe link at the bottom of every newsletter we send to you.

Your rights

You can request a copy of the personal information that we hold about you at any time and we will arrange for a copy to be issued to you, free of charge, within 30 days. We will ask you for proof of your identity before we disclose any information.

If you believe that the information we hold about you is incorrect you can ask for it to be corrected.

If you believe we are processing your personal information without a legal basis, you can ask us to stop. You can also ask us to delete your personal information from our systems.
